What Is Workflow Automation?
5 min read
Workflow automation is software that executes a business process from trigger to completion without a person driving each step. A trigger starts it, logic decides the path, actions update the systems involved, and people are only involved at exceptions or approvals.
The four components
- Trigger — a form submission, new record, incoming email, schedule, or system event
- Logic — conditions, branches, validation and error handling
- Actions — writes and calls into your CRM, database, email, documents or third-party APIs
- Visibility — logs, notifications and a place to see what ran and what failed
How to spot a process worth automating
It happens often, the steps are stable, the data lives in systems rather than in someone's head, and the cost of a mistake is recoverable. Processes that fail one of those tests usually need to be simplified before they are automated.
Why automations fail
The most common failure is not technical. It is automating a process nobody agreed on, so the automation encodes one person's version of it. Map and agree the process first, in writing, before building.
Frequently asked questions
- Is workflow automation the same as AI?
- No. Workflow automation is rule-driven. AI can be a step inside a workflow when interpretation is needed.
- What happens when something breaks?
- A well-built workflow logs the failure, retries where safe, and notifies a human with enough context to resolve it.
- Can workflows span multiple tools?
- Yes — that is usually the point. Most valuable workflows cross at least three systems.
